Privacy Policy
Last updated: October 28, 2026
This policy explains what the Cellar Haul team collects when you use cellarhaul.com or ask us for a pickup or delivery, how we use it, who helps us handle it, and the choices you have. Questions or requests: [email protected].
What we collect
When you send a request on our website, you give us:
- your name and email address, and (if you choose to add them) your business name;
- the pickup and delivery addresses, and access, parking, loading and business-hours notes for each;
- an on-site contact name and phone number for pickup and for delivery;
- what is being moved (type of goods, size, quantity, estimated weight or number of pieces);
- the date, time slot and number of hours you want, and anything else you tell us in the free-text box.
If you give us the name or phone number of someone else (such as an on-site contact), please make sure they are happy for you to do so.
When we quote, schedule and make a delivery, we also collect:
- declared values for the goods, and booking and payment details such as dates, times, quotes, receipts and payment status (we keep a record of the amount, date and status of each payment);
- from Stripe, our payment processor: the payment status, the card brand and the last four digits of the card you paid with. We do not store your full card number;
- a record of your agreement to the Terms on the payment link or request form: the date and time you ticked the box and the wording shown;
- delivery records: photos of the goods and packaging at pickup and delivery, and signatures from the people handing over and receiving (if no one is there to sign, the receiver's name and the time). Our driver takes these at the handoff, and we keep them in our business records. We take photos of the goods and the handoff, not of people, where we can avoid it.
We do not ask for access codes, full payment card numbers or government ID numbers on our forms, so please do not include them. Card details are entered only on the payment page run by Stripe, never on our website.
Basic technical data. Our website is hosted by Cloudflare. Like any website host, Cloudflare keeps standard technical request records (your IP address, the page requested and your browser type) to run the site and keep it secure. The request form also uses a spam and bot check (see "Who helps us handle it" below).
How we use it
We use your information to answer your request, give you a quote, schedule and carry out deliveries, keep a record of each handoff, handle problems and claims, send receipts and booking messages, keep our business records, protect the site from spam and abuse, and meet legal requirements. We use your contact details for messages about your requests and bookings.
Marketing
We do not send marketing messages unless you ask us to. The website does not sign you up to any list.
Where your request goes and how it is stored
When you send the request form, the information you entered is emailed to our team's inbox, and we reply to you by email. That email, and our replies, are kept in our business email.
Our online booking calendar is kept in a Cloudflare database. It stores only the date, start time, status, an internal label and a short reference code for a request or booking. It does not store your name, email, phone number or addresses. Those calendar entries are deleted 24 months after their date.
The website does not take payments and never asks for card details. When we confirm your booking, we email you a payment link to a payment page run by Stripe, our payment processor, where you pay with your card. Stripe handles your card details under its own privacy policy: https://stripe.com/privacy. We do not save your card for later charges and we do not store your full card number. Payment is by card, paid when you confirm the booking through that link. If a later fee applies under our Terms, we email you a new payment link for it.
Who helps us handle it
We share information only with service providers who help us run the service, and only as needed:
- Website hosting, security and spam protection: Cloudflare. It hosts our site and our booking calendar database, and keeps the technical request records described above. Bot protection is on. On the request form, Cloudflare's Turnstile spam check loads a script from challenges.cloudflare.com and sees your IP address and browser details to tell people from bots.
- Email delivery: Resend. It sends the request-form email to our inbox, so it processes the content of your request while delivering it.
- Payment processing: Stripe. It collects your card details on a payment page it runs, processes the charges and refunds, and tells us the payment status, card brand and last four digits. Its own privacy policy applies to what it collects: https://stripe.com/privacy.
- Our business email provider and professional advisers where needed to run and account for the business.
We may also share information if the law requires it, to protect safety, or as part of a sale or transfer of the business.
We do not sell your personal information, and we do not share it for advertising.
Cookies and tracking
Our own website does not set cookies and does not use analytics, advertising or tracking tools. Our fonts are hosted on our own site, not loaded from a third party. The Turnstile spam check is used only to block bots, and we have set it up so that it does not leave a cookie in your browser. This statement is about our own website: Cloudflare's infrastructure keeps the technical request records described above. When you pay, you leave our website for a page run by Stripe. Stripe may set cookies or similar tools on its own pages, under its own policy, and we do not control them. We do not track you across other websites.
How long we keep it
We keep delivery photos and booking records, including the record of your agreement to the Terms, for 24 months, and then delete or de-identify them, unless the law requires us to keep them longer or they are needed for an open claim.
Your privacy rights
You can ask us:
- what personal information we hold about you and how we use it (access);
- to correct information that is wrong (correction);
- to delete the information we hold about you (deletion), subject to records we must keep or need for an open claim or an unpaid charge;
- to stop contacting you.
California residents have these rights under California privacy law. We will not treat you worse for asking. To make a request, email [email protected]. We may need to confirm it is really you before we act, and we aim to reply within 45 days. You can also ask someone to make a request for you, and we may ask for proof that they are authorized.
Children
Cellar Haul is a business service. It is not directed at children, and we do not knowingly collect information from anyone under 18.
Security
We use reasonable steps to protect your information, including keeping customer details out of our online booking calendar. No system is perfectly secure, so we cannot promise absolute security.
Changes to this policy
We will post changes here with a new "Last updated" date.
